How much does a live printing event cost?
The anchors first: a staffed station starts around $5,000 for a local event — that figure includes the equipment, the crew, blanks for your guest count, artwork prep, setup, and teardown. Staffing is $250 per hour counted across your whole window, setup hour included. Inside Orange County, Los Angeles, or San Diego there's no travel charge; outside that region — Las Vegas included — it's a flat $900.
In practice, most events shake out to $25–$40 per guest. Two hundred guests at a company party typically means a total somewhere in the $5,000–$8,000 range depending on garments and hours. That's the honest bracket — anyone quoting dramatically below it is leaving out the crew, the blanks, or both.
Worked example
A 250-person holiday party, four event hours in Irvine. One DTF station with two operators, six-design menu, Bella+Canvas 3001 tees. Roughly six staffed hours with setup and teardown, blanks for the full guest list, artwork prepped in advance, zero travel. That event quotes in the low-to-mid five thousands — about $26 a head for a gift people actually wear home.
What moves the number
Guest count drives blanks and press count — past roughly 300 guests you want a second station so the line stays short. Hours drive staffing linearly. Product is the swing factor: a patch hat bar with Richardson 112 caps costs more per unit than tees, embroidery more still. Artwork is cheap to get right and expensive to get wrong — a tight four-to-six design menu prints faster and needs less prep than a sprawling one.

How to compare quotes
